What is Microsoft Outlook?
Microsoft Outlook has been the dominant business email client since the late 1990s. It integrates directly with Microsoft Exchange and Microsoft 365, which makes it the default choice in most corporate environments. Calendar, contacts, tasks, and notes are tightly integrated and sync in real time with Exchange and Microsoft 365 servers.
The new Outlook for Windows (released as default on Windows 11 in 2024) replaced the legacy Outlook desktop application. The new version is closer to the web experience and drops some legacy features such as local PST file support by default. Organizations that rely on PST files or COM add-ins should verify compatibility before migrating from the classic Outlook.
For Gmail users, Outlook connects to Google accounts via OAuth and displays Gmail labels as folders. The Focused Inbox feature filters high-priority messages automatically. Copilot AI features (Microsoft 365 Business or higher) add email summarization, reply drafting, and meeting preparation.
Note: Windows Mail, Calendar, and People were discontinued by Microsoft on December 31, 2024. Outlook for Windows is now the official replacement on Windows 10 and 11.
